Using this website
This is an information website. There is no enquiry form, customer account or online payment facility. The website's own code contains no analytics or advertising tracker. Its fonts, scripts and images are served with the website rather than embedded from third-party services.
The website's own code does not set cookies or save an introduction flag on your device. Animation state lasts only within the open page.
Hosting and technical information
Our website is hosted by Fasthosts Internet Limited. Delivering pages involves processing technical information, including the IP address needed to send a page to your device. The hosting package includes Website Stats, a service for reporting website use, such as page views and popular pages. Fasthosts lists IONOS SE in Germany as its subprocessor for web traffic data used by that service. Inclusion of the service does not mean that we identify individual visitors from its reports.
We use the hosting service to deliver and operate the website, relying on our legitimate interests in providing a functioning website and protecting its availability.
Fasthosts acts as our processor where it handles personal information on our behalf in providing hosting. Its separate privacy notice also describes its own processing for operating and protecting its services, including technical troubleshooting and security or fraud prevention. Its published retention information relates to the operational or security purpose of the record and any legal need to retain it; it is not a single deletion deadline for all website information. See the Fasthosts privacy notice: https://www.fasthosts.co.uk/terms/policies/privacy-notice.
Our purpose in using website-use statistics is to understand and improve this website, relying on our legitimate interests in providing useful information. We do not use these reports to target advertising or make decisions about individual visitors. Information used for this purpose is needed only for as long as necessary to understand and improve the site; hosting information may separately be needed to operate and protect the service or meet legal requirements. These are purpose-based criteria, not a promise of a fixed deletion time from every provider system or backup. You can contact us about this processing or object using the details above.
Germany is covered by the UK's adequacy regulations for international transfers of personal information.
When you contact us
The email link opens your own email application; it does not submit a website form. If you email us, we receive your email address, the information and attachments you send, and the usual email delivery information. Please do not send sensitive personal information, confidential client material or privileged documents before we have agreed a suitable way to receive them.
We use enquiry information to respond, discuss your requirements and manage the resulting business relationship. Our lawful basis is our legitimate interests in handling requested business enquiries and maintaining relevant business correspondence. Where you personally ask us to take steps towards a contract with you, we rely on that basis for the information necessary to take those steps. You do not have to provide information, but we may be unable to answer without enough detail. Sending an enquiry does not subscribe you to a newsletter.
We use email, document-storage and customer-relationship services to handle enquiries and relevant business records. We also use external AI services to help organise and summarise business information and draft responses; enquiry information may be processed by those services for these purposes.
How long enquiry information is needed
The period for which an enquiry record is needed depends on whether we are still answering it, whether it leads to an ongoing business relationship or engagement, and whether relevant correspondence is needed to meet a legal record-keeping requirement or establish, exercise or defend a legal claim. These criteria also apply to relevant business notes made from the correspondence. An ongoing relationship does not by itself justify keeping unrelated or unnecessary personal information.
Where an enquiry becomes a client engagement, we explain any additional engagement-specific arrangements separately. Deletion of a working record should not be understood as an assurance that every retained archive or service backup is immediately erased. You can contact us about the information we hold and the reason for retaining it.
Processing outside the UK
These services can involve processing personal information outside the UK, including in the United States. Microsoft and HubSpot provide contractual transfer safeguards, including Standard Contractual Clauses with the UK Addendum, for relevant transfers. Details are available in Microsoft’s Data Protection Addendum and HubSpot’s Data Processing Agreement.
Our AI support uses OpenAI services. OpenAI’s Europe privacy policy describes its overseas processing and transfer safeguards. Contact us using the details above for more information about overseas processing and relevant safeguards.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your personal information, restrict its use or receive a portable copy. You can object to processing based on legitimate interests, including the business-enquiry processing described above, and to direct marketing. Where processing is based on consent, you can withdraw it without affecting earlier lawful processing. Contact us using the details above.
You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not have to complain to us first.
